Information you give us. When you send the project form on this site we collect your name, company, work email, phone number, the type of project, any project details you write, any photos or drawings you choose to attach, and — if you have one — your welcome discount code. We also record which page the request was sent from and, where you arrived from a product or industry page, which one, so we know what you were reading.

When you claim the welcome offer we collect the email address or phone number you enter, your consent, and the discount code we issue to you.

Your account. When you create an account we collect your first and last name, your email address and the password you choose — we keep only a one-way hash of it, never the password itself — and, if you add them, your company, phone number, billing and installation addresses and email preferences. To protect the account we log sign-ins and changes to it, with the time and the IP address they came from.

Agreements and payments. When we send you an agreement we hold what is in it — your name, company and contact details, the installation address, the products and the price — and its history: when it was sent, opened, signed and paid. Payments go through Stripe: your card or bank details go to Stripe and never reach our servers. We keep the amount and date, the kind of payment method and Stripe's receipt, and, where you authorize us to charge a card on the due dates, that authorization and the card's brand, last four digits and expiry.

Do not attach a document that contains personal information about other people unless you are entitled to share it.

Information collected automatically. Our servers record standard logs — IP address, browser user-agent, requested URL and timestamp — for security and to keep the site running. We do not use those logs to build a profile of you.

Information kept in your own browser. This site uses essential cookies only — to keep you signed in — and keeps a few small notes in your browser's storage, such as your welcome code or, in the agreement portal, the link to your agreement while its tab is open. None of them is used for analytics or advertising. Our Cookie Policy lists them all, and you can clear them in your browser settings.

When you sign an agreement in our customer portal, we keep a record of the signature as evidence of who agreed to it, and when. The record holds:

• the check of your email address: we email a one-time 6-digit code to the address on the agreement, and record when you entered it
• the name you typed, your title if you gave one, your drawn or typed signature, and the consent statements you accepted, word for word
• the IP address your device signed from
• your browser and device, as your browser describes them (its user agent)
• the date and time of each step
• your device's location, only if you share it: your browser asks when you press Sign, and you can say no and still sign. If you allow it, we record the coordinates your device reports and how accurate they are, and may add the town and state they fall in; if you say no, or your device cannot tell, we record that instead
• a fingerprint (SHA-256) of the exact agreement you signed

Why: this is the evidence that the agreement is valid under the U.S. ESIGN Act and the Washington Uniform Electronic Transactions Act, should it ever be questioned. The same details appear on the signing certificate of the signed agreement — the PDF you receive. We use them for nothing else: no profiling, no marketing, no tracking of where you go.

How long: for as long as we keep the agreement and its records.

We use what you send us to reply to your enquiry, prepare a written specification and budget range, apply your welcome discount, and follow up about that project; your account and your agreements to deliver and support what you ordered, take your payments and keep you informed. Where the law requires a legal basis, ours is your consent — given by ticking the consent box — the contract we have with you or are taking steps toward at your request, our legitimate interest in responding to a business enquiry and in being able to prove an agreement, and the records the law requires us to keep.

We do not sell your personal information, and we do not share it for cross-context behavioural advertising.

We keep the list of companies that touch your data as short as we can:

• Our hosting provider — runs this website and the server that stores enquiries, welcome-offer signups, accounts and agreements.
• Our email provider — delivers our emails to you (codes, agreements, receipts and order updates) and the notification of a new enquiry to our team.
• Stripe — takes card and bank payments for agreements, under its own privacy policy.
• Google — may turn a signing location you shared into a town and state; only the coordinates are sent for that.

We may also disclose information where the law requires it. Because these providers operate internationally, your information may be processed outside your own country, including in the United States.

This site uses essential cookies only: they keep you signed in to your account, and our staff to the admin area. It runs no analytics, advertising tags, heatmaps or session recording. See our Cookie Policy for the full list, including what the site keeps in your browser's storage.

We keep enquiry correspondence for as long as the opportunity is live and for up to three years afterwards, so we can pick up a project you come back to and honour warranty and specification history. Welcome-offer signups are kept until the code is used or for up to three years. Ask us to delete either sooner and we will.

Your account stays until you delete it (Profile → Delete account) or ask us to; its sign-in log goes with it. Agreements, the records of their signatures and payments stay with us as business records for as long as we keep the agreement and its records — also after an account is deleted.

Wherever you live, you can email business@smartechllc.tech and ask us to give you a copy of what we hold about you, correct it, or delete it. We will not charge you and we will not treat you differently for asking.

If you are in California, the CCPA and CPRA give you the right to know what we collect and why, to request deletion or correction, and to opt out of the sale or sharing of your personal information. We do not sell or share personal information, so there is nothing to opt out of — but the right to know, delete and correct is yours, and you may use an authorised agent.

If you are in the UK or the European Economic Area, you additionally have the right to object to or restrict our processing, the right to data portability, the right to withdraw consent at any time, and the right to complain to your national data protection authority.

The site is served over HTTPS, and the forms are transmitted encrypted. Attachments are checked on arrival and stored on our own server, reachable only by our team. No method of transmission or storage is perfectly secure, but we do not keep your enquiry anywhere it does not need to be.

This is a business-to-business site. It is not directed at children and we do not knowingly collect information from anyone under 16.

If we change this policy we will update the date at the top of this page. Material changes — a new category of data, a new processor, anything to do with tracking — will be described here, not made quietly.
